For decades, organisations have relied on Microsoft Publisher for newsletters, flyers, forms and directories. When Microsoft retires the product, years of templates and active documents become inaccessible overnight. If those files still power your operations, the clock is already running.

The PDF trap

Bulk-converting to PDF isn’t a plan.

Microsoft’s official guidance is to save everything as PDF. You can still see your documents — but PDFs are frozen printouts.

  • Translation block. Professional CAT tools can’t cleanly ingest PDF layouts — formatting is destroyed on extraction.

Best for: Text-heavy documents, reports, simple layouts.

Strength: Accessible, easy to edit, fully compatible with translation tools.

Trade-off: Weak on complex design — heavy Publisher files usually need manual rebuilding.

Best for: Brochures, flyers, catalogues, marketing collateral.

Strength: The professional standard for layout and typography.

Trade-off: Higher subscription cost and a steeper learning curve.

Microsoft PowerPoint

Best for: Short brochures, flyers, one-pagers and simple multi-page leaflets.

Strength: Already in your Microsoft 365 licence and familiar to everyone. Free-form text and image boxes on a fixed canvas behave much like Publisher, so page layouts transfer naturally — and .pptx is fully supported by professional translation tools, so localised versions keep their design.

Trade-off: Not a true print-production tool — limited on long documents, master pages and pre-press output.
